Role:

 

The role of Document Control Assistant is to provide clerical support to the Document Control Department as well as to the Engineering Department when required.

 

Responsibilities:

 

      Assembling and copying of project manuals.

      Distributing fabrication drawings as per project document distribution list.

 

Duties:

 

      Photocopying.

      Scanning.

      Copy & Release drawings for fabrication based on the distribution list.

      Hand deliver drawings &/or documents on release log as required by the distribution list and obtain signatures.

      Ensure drawing sign-off sheet is up to date and controlled.

      Troubleshoot documentation problems (i.e. Bring any problems to the attention of relevant personnel for clarification and resolution).

      Organize and file technical documentation for projects.

      Assemble and copy equipment, operating and project manuals based on project requirements (includes preparing required title pages).

      Client submittals

      Assist with QA/QC related documents

       Archiving

       Ordering Supplies

       Maintain project document lists

 

Other Duties:

 

      Miscellaneous tasks as assigned by the document controller or other personnel.

 

Skills & Knowledge:

 

      Excellent knowledge of Microsoft Office applications, specifically Word and Excel.

      Knowledge of scanners, printers, plotters and other basic office equipment

 

Education & Experience:

      High school diploma.

      Post secondary training in office administration or related technical discipline would be an asset

 

Working Conditions:

 

Requires a good deal of interaction with other staff members for task assignment and therefore necessitates good listening skills.  In addition may involve simultaneous work on many different projects, therefore ability to multi-task and remain organized is essential.  Not required to give direction to other staff members however must be able to receive direction from more then one person.

 

For the most part there is very little exposure to hazardous situations therefore a rating of low-hazard has been assigned. Due to the necessity to travel between office buildings, extra care must be taken depending on weather conditions. It is the responsibility of the incumbent to be familiar with and adhere to the safety policy as well as safety rules and regulations.  When non-compliance occurs, disciplinary action will be taken.
